Driver cost tracking for a single ride or charter

Link driver pay, gratuity passed through, waiting time and reimbursable parking or tolls to the trip that incurred them.

A driver cost record is useful only when it identifies the trip, the driver, the service date, what was paid or reimbursed, and whether gratuity is already included. Keep the expense amount separate from the date it was paid.

Create invoice

Create a free PDF invoice without an account. In the accounting workspace, Pro includes Daytime, customer records and managed invoices; Business adds costs, payment records and profit reports. Compare workspace plans. For the standalone generator, see invoice plans and availability.

What to record and review

  1. Identify the trip and driver, then record the agreed pay and actual service time.
  2. Add supported parking, tolls, meals, or other reimbursable costs with receipts.
  3. Check whether the driver payout already includes gratuity before adding any separate tip cost.

Worked example

A ride brings in $600 plus a $90 tip. Driver pay is $180 and the $90 tip is passed through. If the payout record already totals $270, use $270 once as driver cost; adding another $90 would understate profit.

Illustrative figures, not a quote or an industry benchmark.

How do I avoid counting a driver's tip twice?

Confirm whether the driver pay amount already includes the tip. Include the tip in the cost total once, either within driver pay or as a separate cost.
